Job Purpose

The purpose of the Marketing & Management Assistant Nordic role is to provide comprehensive administrative and operational support to the General Manager and the broader Marketing, Medical, and Sales teams. This position ensures the smooth execution of general and financial administration processes, assists in the coordination and management of marketing and sales projects, and upholds compliance with national and internal guidelines. By handling agreements, supporting event management, and facilitating communication across departments, the role contributes to the effective functioning and success of the organization’s activities in the Nordic region.

Key Responsibilities

General and financial administration (SAP, Synertrade, P2P, PO’s).

Administration of marketing and sales projects, sales cycle meetings, Omnichannel/Digital channels, CRM set up (OCE-P/D), Hubspot, ON24 (webinars). Event management (sales cycle meetings and company days)

Administration and support to field employees.

Support General Manager agreement with HCP/HCO administration, payment forms and payments.

Marketing Compliance administration in Veeva system.

IT coordination of our external and internal support.

Comply to National Law´s, National Ethical guidelines (EFPIA local such as but not limited to LIF Sweden, PIC Finland, LMI Norway, ENLI Denmark), Local and regional guidelines, internal SOP´s, GDP, Safety reporting (PV), QA and medical info

Required Education

Minimum high school education, university education would be advantageous.

Required Skills and Experience

Fluent in Swedish and English (verbal/written), understanding other Scandinavian languages would be advantageous.

Excellent analytical and problem-solving skills.

Competent in the use of Microsoft Office tools with strong Excel skills.

Experience working with invoices and POs.

Experience within general administration or marketing administration.
