Job Purpose

The purpose of the Executive Assistant to the Chief People & Culture Officer is to provide a highly professional and wide-ranging executive PA and administrative support service to the Chief People & Culture Officer.

This role will be based in our HQ in Milan.  

Hybrid working is offered – minimum 2 days per week from the office.  

Key Responsibilities

•    Executive diary management for Chief People & Culture Officer, including forward planning, internal & external meetings across different time zones, setting up teleconferences and preparing meeting documentation.
•    Organise travel arrangements for Chief People & Culture Officer in line with company travel and expense policy.
•    Organise HR Leadership Team meetings and assist in preparation of agendas and meeting materials, circulating in a timely manner, producing minutes, and ensuring follow-up actions are progressed where necessary.
•    To organise and co-ordinate HR Team in-person (and virtual) meetings, including venue finding, attendee management and communication, managing travel and accommodation bookings and event logistics.
•    To provide high-level secretariat support to key internal and external meetings involving the Chief People & Culture Officer
•    Managing expense reports
•    Managing the HR Dept. budget/forecast and proper implementation of the invoice approval process
•    To prepare correspondence, reports, memos and presentation material as required.
•    Project Management - Manage specific projects on behalf of the Chief People & Culture Officer as and when required.
 

Required Education

 University degree or equivalent an advantage but not essential.

Required Skills and Experience

At least 7 years of previous experience as a C-Suite Executive Assistant or Personal Assistant

Technical Competencies

 Excellent IT, including power point and excel, organisational and project management skills. 
Knowledge of SAP platform for purchase orders related to HR Projects
