Job Purpose

The purpose of the Assistant to the Vice Presidente Corporate Law and Board Secretary is to provide a highly professional and wide-ranging executive assistance and administrative support service to the Group Corporate Legal Affairs team.
This role will be based in our HQ in Milan.   

Key Responsibilities

  • Calendar & Meetings Management: handle complex schedules relating to the Recordati Board of Directors and Committees meetings organization, as well as induction sessions for Directors: forward planning, setting up teleconferences and in person meetings, assistance in preparation of agendas and meeting materials, also using the Board Portal tool, circulating in a timely manner, and ensuring follow-up actions are progressed where necessary.
  • Travel & Logistics: organizing and coordinating events in relation to the Board of Directors, including venue finding, attendee management and communication, managing travel and accommodation bookings and event logistics.
  • Calendar & Meetings Management as well as Travel &Logistic in support to the VP Corporate Law and her team and managing expense reports, all in line with company travel and expense policy.
  • High-level secretariat support: preparing correspondence, reports, and presentation material as required. Daily management of pec/corporate correspondence, document collection and filing, assisting team with company projects and tasks.
  • Budget Oversight: manage the corporate law team budget, expenses reporting and invoice approval processes.

Required Education

University degree or equivalent an advantage but not essential.

Required Skills and Experience

At least 7 years of experience in assistant roles, preferably in a multinational environment or top international law firms.

Required Languages

Fluent in English is mandatory. If English native speaker, good command of Italian is also requested.
Additional European languages are an advantage but not essential
