Job Purpose

Oversees the daily administrative operations of the Cork site. This role involves managing office activities, supplies, and facilities, as well as coordinating schedules, meetings, and communications for the VP International Pharma Sales.

Key Responsibilities

Office Management

  • Develop and implement office policies and procedures to ensure efficient operations. 
  • Manage office supplies and equipment, ensuring timely restocking and maintenance.
  • Oversee the maintenance and management of office facilities, including liaising with vendors and contractors.
  • Manage relationship with 3rd party IT provider, ensuring that the service provided is appropriate.
  • Liaise with HQ on all IT and Telecoms maintenance agreements.
  • Coordinate office events, meetings, and travel arrangements for various stakeholders across the business.
  • Be the point of contact for meeting room schedules to include on-site training sessions.
  • Assist the Industrial Department with scheduling of medical appointments.
  • Handle correspondence, phone calls, and emails.
  • Maintain a safe and organized work environment.
  • Prepare reports and presentations for management.
  • Manage all aspects of space/infrastructure planning.
  • Other ad-hoc duties as directed by the Recordati Ireland Ltd.

 

Personal Assistant

  • Manage the VP International Pharma Sales schedule, including appointments, meetings, and travel arrangements.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Handle confidential information with discretion.
  • Assist the VP International Pharma Sales with various tasks and projects as needed.

Required Education

Degree or Diploma in a relevant field an advantage

Required Skills and Experience

Previous experience in a similar role an advantage.

Proficiency in office software (e.g., Microsoft Office Suite).
